Frequently asked questions concerning Teams@Notes

Q: What do I need on the Microsoft side to use Teams@Notes?
A: In order for Teams@Notes to run in your Microsoft environment,

  1. we need the tenant ID of your Microsoft environment,
  2. you would have to register an app in your Microsoft environment, from which we need the application ID (client ID) and the associated secret client key (client secret),
  3. you need a licensed access to Microsoft Teams (further information about the corresponding Microsoft licenses can be found under the following link). Please note that you do not need Exchange licenses for your Notes calendar to work with Microsoft Teams. Only Teams have to be licensed!

Q: What do I need on the Domino side to use Teams@Notes?
A: In order for Teams@Notes to run in your Domino environment,
  1. you need at least the HCL Notes 11 client, but we recommend installing Fix Pack 1 of version 11.0.1 as well,
  2. we need your mail template, which we have to customize accordingly for Teams@Notes.

Q: Which authentication method is used?
A: We use authentication via the OAuth protocol (including OpenID Connect). In this way, we adapt to the common practice of Microsoft Teams and can work with the well-known access and refresh tokens. Your passwords are in no way stored or saved in the Notes client.
In order for your employees to be able to log into Microsoft Teams, one of the following user management processes must be implemented:
  1. The users are originally created and managed in Azure AD, including their password.
  2. The users are synchronized from your company's Active Directory to Azure AD and given a password hash that can be used for authentication, but does not provide any information about the specific password.
  3. The users are managed exclusively in the Active Directory and are synchronized into Azure AD without a password hash. An authentication request is forwarded via ADFS to the Active Directory, where the correctness of the login data is checked.

Q: How can I be sure that Teams@Notes is working in my environment?
A: In a short online meeting we will make the adjustments to your mail template and then test them together in a test environment. This way you can see live how the solution works and you can also securely transmit the data of your Microsoft environment mentioned above, the tenant ID, the application ID and the associated client secret.

Q: How is Teams@Notes licensed?
A: We offer Teams@Notes for a flat rate, which depends on the number of Notes/Domino users in your company. We would be happy to make you an official offer in which you can read all the important conditions. Please send us a request with the current number of Notes/Domino users in your company.

Q: Do I simultaneously create a calendar entry in Teams while planning an event with Teams@Notes?
A: The advantage of Teams@Notes is that you no longer need the Teams calendar and can use the Notes calendar as a single point of truth. This way, you can also save Microsoft licenses - because the Teams Calendar requires an Exchange license in the background. Since Teams@Notes creates so-called "instant meetings" and uses the calendar and invitation functions of the Notes client, you do not need the Teams calendar and you do not need licenses for Microsoft Exchange. If it should nevertheless be your wish to create an entry in your Teams calendar from out of your HCL Notes calendar, we can develop this for you on request.

Q: Is multifactor authentication supported?
A: Yes, Teams@Notes now also supports multi-factor authentication. This requires an extended project meeting in which the return address of the authentication is specified and the additional information required is discussed.

Q: The error "Problem with SSL, please enable debug trace setting Debug_NotesHTTPRequest for more information" appears. How can I fix it?
A: During the multi-user installation of the HCL Notes client, the "cacert.pem" file is not copied to the local Notes data directory. This file contains the public root certificates, which are needed for communication via SSL with e.g. Microsoft. As soon as this file is copied into the data directory, the error is eliminated. The corresponding file can be found in the data directory of the single-user installation (For more information on the Notes problem mentioned, please refer to the corresponding HCL Support-Case).

Q: The HCL Notes Client crashes sporadically. How can I fix this?
A: We recommend to update your clients to version 11.0.1 FP1. Without the fix pack, there were sometimes sporadic crashes under version 11. This problem was resolved after installing the mentioned fix pack.
